I. Job Description
The principle responsibilities of this position include: serve as a primary point of contact for student, parents, and other constituent groups via phone, in person and e-mail; answer questions regarding financial aid application processes, policies and procedures; solving problems and resolving issues in a timely manner. Coordinate front office workflow; supervise the receipt of all documents submitted and the entry of that data; prepare and deliver individual correspondence to families as directed. Maintain document tracking and filing processes; keep policies and procedures manual current; assist with filing as needed. Perform data entry and generate reports using PowerFaids, Jenzabar EX, CampusLogic and other campus computer systems; maintain current working knowledge of all systems used in Financial Aid. Serve as back-up to Financial Aid Counselors; assist with data entry of student forms. Perform and manage federal verification process and paperwork. Maintain a current working knowledge of state, federal, and college policies, regulations, laws, and industry best-practices; participate in ongoing professional development opportunities as directed.
Provides administrative and technical support to the Financial Aid Office; advises students and parents on obtaining aid and potential aid eligibility; analyzes student data; serves as a part of the Financial Aid team to ensure regulatory compliance and timely delivery of financial aid services. Decisions are made regarding the eligibility and awarding of financial aid to students using prescribed policies and procedures, along with reflected authority. All awarding is done in compliance with applicable Federal guidelines and using professional judgment along with writing a justification rationale for the decision. Additional judgments are made based on changes to the students financial circumstances with recommendations made that may be exceptions to the Federal regulations.
This position requires individuals to perform multiple tasks utilizing proven problem solving skills and knowledge of financial aid policies and procedures, with the highest level of customer service. Excellent communication skills are necessary for providing critical and diverse oral presentations and for training staff. Since many communications are in writing and involve explaining complex laws and policies, sound writing skills are crucial.

- Knowledge of federal and state student financial aid laws and regulations; principles of eligibility analysis and warding assistance; recordkeeping; software programs and applications; operation of computer equipment
- Ability to understand, interpret, and apply laws, regulations and procedures concerning financial aid programs. Ability to analyze financial aid eligibility of students by applying prescribed criteria.
- Knowledge of arithmetic computations including addition, subtraction, multiplication, division, percentages, ratios, and fractions.
- Ability to exercise sound independent judgment and personal initiative
- 1-5 years student financial aid experience
- Bachelors Degree or equivalent preferred
IV. Primary Duties
o Participates in daily operations of Financial Aid under the direction of Director of SFS.
o Is responsible for identifying and eliminating single points of failure for the financial aid processes
o The Financial Aid Coordinator works with the admissions department to complete the enrollment process.
o Maintains and updates the schooleuro;bdquo;s CRM on a daily basis.
o Contacts all future, and current students to discuss tuition payment options including financial aid.
o Prepares all paperwork pertaining to grants and loans.
o Works with all future and current students to collect the required verification documentation.
o Counsels and advises future and current students and parents on financial aid eligibility guidelines and available programs, including tuition, loans, verification, and payment plans.
o Understands how to complete the FAFSA, Master Promissory Note, and Direct Loan Counseling.
o Has excellent interpersonal, oral, and written communication skills and can effectively convey and exchange information.
o Can interpret, apply, and comply with federal, state, and institutional regulations governing student financial aid and maintains a current working knowledge of guidelines and regulations related to financial aid
o Maintains policies and procedures that ensure compliance with federal and state laws and regulations and with university protocol. Develops or modifies policies or procedures to achieve enrollment goals, enhance
effectiveness and efficiency, and ensure compliance with laws and regulations.
o Makes the Director aware of issues that may compromise compliance with laws, regulations, and policies.
o Exercises professional judgment in interpreting policy and procedures to ensure accurate consideration of each applicanteuro;bdquo;s special circumstances. Maintains student files and program records for compliance with audit and program reviews.
o Recommends policy and procedural changes in order to keep in compliance with all federal mandated guidelines. Creates and maintains Satisfactory Progress policies and procedures.
Processing Financial Aid Requests:
o In accordance with all applicable laws, regulations, and policies, conducts in-depth analysis of individual student need to determine eligibility for federal, state, University, and donor provided assistance. Resolves student information discrepancies. Reviews, verifies, and completes need analysis forms from federal agencies and higher education institutions.
o Processes UC Scholarship awards using appropriate accounts for advising errors, tuition discounts, community partnerships, UC scholarships, Yellow Ribbon Awards, and other scholarships that may be developed in the future.
o Utilizes software to retrieve necessary information and provide data entry for financial aid processes for awarding and disbursing funds. Conducts program verifications of institutional scholarships and non-University awards.
o Reconciles admissions status with financial aid applications. Maintains organized and easily readable student financial aid notes in student records.
o Ensures that all federal C-codes are resolved before an award is made.
o Manage and oversee all aspects of one or more federal financial aid programs.
o Inform and counsel students and parents regarding financial aid options and requirements.
o Assist in preparing financial aid applications, explain application procedures and schedules, assist in resolving a variety of problems emerging in the application process.
o Participate in orientation programs for incoming students.
o Oversee and carry out a full range of records management and reporting functions: maintain financial aid documents according to the applicable government regulations and institutional guidelines; update and maintain computerized student financial aid records.
o Update and maintain student financial aid records; complete student verification reports; prepare and send a wide range of written communications to respond to questions, provide reward information to deal with specific situations related to a studenteuro;bdquo;s financial aid.
o Meet with various groups on and off-campus to explain financial aid programs.
o Investigate and follow through on collection of past due accounts and counsel students on available payment options.
o Confer regularly with supervisors and other college departments, including student accounts, admissions, registrar and other college departments as well as institutions and financial aid agencies to plan and coordinate activities/policies/procedures, exchange information, investigate and resolve problems, obtain and disseminate information on changes in financial aid programs/policies/procedures.
o Keep abreast of current regulations and guidelines governing financial aid programs.
o Work some evening and weekend hours.
o Compile and analyze financial data, often complex in structure, and generate related schedules and reports
o Interpret and analyze financial data and transactions
o Review, prepare, and process financial aid transaction related entries
o Exhibit knowledge of internal controls and automated systems
o Resolves processing issues
o Participates in strategic planning with Director of SFS
o Represents the Financial Aid Office within the university
o Represents the university to community and professional organizations
o Serves as a member of the Enrollment Management team and participates in overall improvement of processes related to the student experience in enrollment
o Carries out other duties as assigned by the Director of Student Financial Services
